University of Bristol A Cappella Society Committee Meeting – Sunday 1st October at 5:30pm

1. Apologies

2. Previous Meetings Minutes

– It’s 5:30pm and there are 4 committee members present… shameful

– Basically no one read them, apart from Lauren

ACTION:

  • Beth create Actions doc and pin to committee group

3. Treasurer’s Report 

– Nothing to report

– Matthew met with James Throup about TUBBS Fringe tour.

– When the money comes in, Matthew is going to distribute it

– Once the Society has recovered its funds, the rest is supposed to go back to the members who performed

– Committee considers whether some of the profits should stay in the group, rather than giving it all back to the members, but this is not gone with

4. Actions Update

– BOSW after party – maybe Balloon Bar then a club as Balloon bar on a Saturday is not that popular

– Nat met a middle-aged woman in Bath at a party who gave her life advice

– OMG is good but slightly expensive on a Saturday

5. Group Reps’ Report

5.1. Suspensions

– Auditions this week

– El was very drained by the end

– 12 people for 3 spaces in callbacks

– Headlining Kids’ Stage at London A Cappella Festival in January

– 1 hour slot soooo Bang Bang on repeat? 😛

– Album being sorted for release

5.2. Pitch Fight

– Had auditions this week

– Nat re-auditioned this week, as did all returning members

– There was a high standard

– First show in few weeks at Bristol Womens AGM

– 27th October appearing on Sky

5.3. Academy

– On TV this Friday!

– Auditions were ‘interesting’

– Hopefully there will be enough good people to up membership to 12

– Suspsension-rejected guys are going to be advised to audition for Academy

5.4. HotTUBBS

– Auditions today

– Sam is too drained to attend the meeting

5.5. Bristones

– First rehearsal is on Tuesday

– Video of Shape Of You posted to great reception

– Would be great if committee members could come along, and members of other groups

ACTION:

  • Encourage groups’ members to go to Bristones

– A notice needs giving to encourage people to go to Top Note/Tone Rangers

5.6. Brizzlebox

– Auditions on Saturday

– Someone else auditioned earlier in the week

– Think they know who they are taking on

– Would be nice to have a wider social group in addition to performance group

5.7. Top Note

– Amir planning to do a piece that Beth can help on to be ready for BOSW

5.8. Tone Rangers

– Felix is on it

6. Acafamilies

– A huge number of people expressed interest in signing up at freshers fair but there has been incredibly low uptake

ACTION:

  • Nat could bring along a printed signup sheet to the Bristones rehearsal on Tuesday

– Could potentially extend deadline to Thursday

7. Exeter Social

– ‘They want to go on holiday with us’ – El

– Potentially Budapest or Amsterdam

– If it was cheap, more people would be interested

– First few days of April

– Going to ask for more info

– Concern that too much is going on in a cappella that might spread membership and attendance too thin

– Expected to cost £150-£200!

8. Acceptance Emails

– ‘If you have received offers from multiple UoB A Cappella auditioned groups, we strongly recommend that you only become a member of one.’ Should be included in every offer email

– Emails to be sent out from Friday midnight so El can send hers at 00:01 and Cem doesn’t need to send his until during the day on Saturday and everyone else can send theirs whenever from that point

– El can send Academy their callback videos so they can see if they want to take any of the people

9. Committee Membership

– Elected committee members need to buy membership by 6th Oct

– All committee members need to buy it regardless if they want to be in the society anyway

– Matthew cannot buy membership to the society #awks

ACTION:

  • Committee members buy membership

10. Top Note/Tone Rangers Membership

– Need to encourage greater numbers to go

ACTION:

  • Group reps encourage members to go to Top Note/Tone Rangers

– Facebook members groups need more people adding to them as the more popular they look, the more likely someone will join them

11. Room Booking BOSW

– Society have the Pegg Theatre, but need other places to rehearse before show on day of gig

– There is some space in the Union but they cannot be booked until under a week before the show

– Could use peoples’ houses, such as Matthew and Lauren’s flat, Raf’s etc

12. Room Booking 10th Nov

– Techtonics coming for weekend

– Want to rehearse in Union

– Will look into booking rooms closer to time

13. Buying Arrangements

– Dan wants to buy an arrangement for less than £10

– Committee is happy to buy this

– Do not want to make a habit of buying arrangements though

– If each auditioned group has £100 a year to enter competitions, the unauditioned groups should be allowed £100 each to buy arrangements

14. People Who Are Sick At Arranging/Notating

– Sam isn’t here so committee don’t know what he means by this

15. Committee Meeting Times/ Doodle Polls

– General doodle poll didn’t really work, so go back to doing one each week

16. Upcoming Events

16.1. BOSW

– El is hyped… for it to be over

– Semi-Toned has concerns with only performing one song as they have 2 gigs the next day, so cannot justify coming just for one song

– They would like to come, and doing an extra song would encourage them to come

– Cem claims they are the best of the 16 groups

– They were originally told they were doing 2 songs and planned around that

– The purpose of the show is more of a celebration of a cappella than a money-making event

– Idea of Semi-Toned, Aquapella and Suspensions each doing 2 songs as National Champions

– Committee decides that Semi-Toned can perform 2 songs

– Committee reminisces about the Aladdin Medley from the 10th Anniversary Concert

– El to send out soundcheck allocations

– Logos all need to be uploaded to Dropbox in varying formats (e.g. white, black, colour)

ACTION:

  • Upload all available versions of logos to Dropbox

– Need ushers, front of house etc

– Ella has friends who could be ushers

– Scott could maybe be front of house if not performing

– Ticket link needs arranging

– Would be good to film and live stream it

– Ask Ed Jillings for filming and El is asking Connie if she knew someone to photograph it

– Committee discusses the feasibility of one of them pulling, and how this might affect the sleeping arrangements – all for the purposes of increasing sleeping space of course

– Everyone needs to buy their tickets for Pam Pams

– Spoons then somewhere else before Pam Pams, maybe Mbargo

– Since committee is very lazy, and Youtube was on autoplay, it took at least 10 mins for anyone to actually stand up and leave, so several other videos were also watched
